My first guest today is Olga urtado, founder of Neatbooks. Olga built Neat Books from solo $12,000 venture into a 1 million plus accounting firm. After starting with zero clients and a deep understanding of financial chaos. Because she has lived it herself, her growth came through business strategy, stamina, mentorship, profit first principles, and a powerful commitment to clarify purpose and performance.
This conversation is about what happens when entrepreneurs stop operating from chaos and start reprogramming the way they think, decide and build.

[00:01:17] Speaker B: Thank you for having me, Siomari.
[00:01:20] Speaker A: As we begin, I want everyone watching to think about one area in life or business where you may be confusing with movement, with progress. Are you making decisions from clarity or are you reacting from pressure? Because transformation begins when we become aware of the thought patterns driving our choices.
I'm starting this conversation with Olga Hurtado by looking at the mindset shift that allowed her to move from financial chaos into business clarity.
Her story is not just about accounting or revenue growth. It's about changing the internal operating system behind the business. The beliefs, discipline, stamina, and strategic thinking required to move from survival mode into purposeful expansion.
Olga Utado, when you think back to the early stages of your journey, what kind of financial chaos were you seeing or experiencing that made you realize something had to change?
[00:02:13] Speaker B: Well, Siomari, financial chaos sometimes come with a company that fires you after being eight years working, you know, like really hard for that company, and then they just let you go.
So that when that moment happened in my life, I not only changed my perspective of what I wanted to do. Like my personal chaos started because I didn't have any stability anymore. I was fired, I was laid off. But also the financial chaos because I didn't have any cushion, I didn't have any security for me to be able to create an entrepreneurship or create a company. And I did it because what I wanted to do was to spend more time with my girls. And I wanted to be someone who could Bring a mission to these small businesses that didn't have that financial clarity that my parents didn't have either. So I just wanted them to feel that sense of having someone alongside with them. But it was part of my financial chaos and my personal chaos after being laid off.
[00:03:34] Speaker A: Okay, so Olga, tell me, what did starting with zero clients teach you about discipline, belief, and mental stamina?
[00:03:43] Speaker B: Oh, my God. It teaches you patience. Like you need to be patient when you have zero clients and understanding that sometimes business like that style, that stamina that you need to have, it's because you need to have that ability or that capability to move forward without even having anything in your pipeline, anything in your mind.
So what teaches you is patience to be patient because that's the only way that you can see a business grow.
[00:04:16] Speaker A: Absolutely, I agree 100%.
So how did your relationship with money numbers and business control evolve as you began building neat books?
[00:04:27] Speaker B: Well, you know, one of the things that I, when I think about it, you know, from when I started my relationship with money was more on the like, control, controllership side. Like I wanted to control every single piece or every single month penny that I had.
And at the end of the day, it's not about controlling the money, it's that letting it flow. So I started creating pur for that money. And by, you know, by purpose, I mean when I, you know, achieved a goal, a financial goal, I had some buckets and those buckets were like, to pay taxes, to pay, you know, bonuses for the employees, to vacation with my family.
So basically my relationship with money turned out to be healthier. Throughout the years after I understood that money, instead of being the purpose, it was the vehicle for me to achieve, achieve whatever I, I dreamt of, you know, from my life for my employees, lives for my family.
So it's a healthier relationship right now.
[00:05:40] Speaker A: Wow, Olga, that's, that's amazing. So let me ask you another question. What limiting belief thought patterns do you see most often when entre entrepreneurs feel overwhelmed by their finances?
[00:05:54] Speaker B: Oh my God.
This is, you know, it's something that happens often with the entrepreneurs and it's the fact that they want, they compare themselves quite a lot with other entrepreneurs and that have something happens, something triggers in their minds that they think they have to be this, this the same, they need to have the same success as their, as their neighbor. And you know, every person has or every business is in a different stage, you know, and when you're starting and you want to follow a pattern or someone else's steps, you just compare yourself and you start making changes based on what that person or that business went through. And the reality is that you are in a different or you have a different purpose, you are in a different stage.
And what you need to do is just follow your gut, follow your instinct, and build a business the way that you want to build it, not the way that someone else has built their business, because their purpose is definitely different than yours. So what I, when I see the entrepreneurs, you know, achieving these goals based on others, other people's goals or other people's businesses, that's when I say probably it's not going to be, it's not going to get you that far because that's not your dream, that's not your goal, that's not your purpose.
So to me, purpose and goals and everything for entrepreneurship, it needs to be established since day one. So you don't compare yourself to anyone. You can use someone as a benchmark or another business as a benchmark, but that doesn't define you.
It doesn't mean that you have to follow the same path.
[00:07:53] Speaker A: Path, absolutely.
And you cannot compare your chapter one to somebody's chapter 20.
So when someone is stuck in survival mode, what's the first mindset shift they should need before they can strategize and actually work?
[00:08:11] Speaker B: Well, in my experience, when I was living in survival mode, my mindset and when I shifted was, okay, I just need to put food in my table. That was my mindset at that, at that time, because that's what every entrepreneur goes through. They build these businesses just to put food in their table. When did that mindset started to change?
In my experience, it started to change during the pandemic because I was alone, you know, a solopreneur for six years. And during the pandemic, I realized that a lot of companies needed help because, you know, whatever we were going through at that time.
So at that moment I understood that we need to change our mindset and think big. And I didn't think about it before because I didn't see it. I saw it. At that moment you're going to have that aha moment that is going to help you change your mindset and it's going to lead you to that path that you are going to, you know, to walk for your business and for yourself.
So it's, you need to be open minded enough to understand that you, that you need to, that there's going to be a time in your business life that your mindset is going to change, period. And if you're not open minded enough, then you're going to be stuck as a solopreneur and you're not going to grow. It's, you know, it's going to be like this small business and that's it. But if you're thinking big and that mindset change you and, you know, every, every single thing that happens in your business, it starts to change, then you're going to visualize with clarity that purpose that is going to lead you to that goal that you had in mind when you started your business.
[00:10:08] Speaker A: Absolutely. And I agree with that 100%. We came to live extraordinary lives, not a mediocre one.
So what I hear is part of the conversation is that clarity is not just a financial tool, it's a mental shift. I'm continuing my conversation with Olga Ultado, founder of neatbooks. And now I want to focus on the structure behind the transformation.
For many business owners, growth feels exciting but unstable because the financial system underneath the business is not strong enough to support it. Olglot's journey shows us that clarity needs a framework, profit needs a process, and confidence grows when entrepreneurs can see what really is happening inside of the business.
So, Olga, why do so many entrepreneurs avoid looking closely at their numbers until the pressure becomes impossible to ignore?
[00:11:59] Speaker B: Because they are scared.
They're always scared to look at the truth.
When you, when you prepare the books as an accountant and you show these numbers to business owners, most of them are not ready for what they're going to find or what they're going to see in those numbers. And probably they have this idea in their minds that they're making money. But when they see their bottom line, they are not making money.
So they don't understand why.
And when you start explaining that to them, it's. When I look at them, it's fear.
They fear that they are not going to succeed.
They are scared that they are not going to succeed, or they fear that that idea that, you know, led them to create this amazing business is going to just vanish or disappear.
So to me, in my experience has always been that fear of failure. And at the end of the day, failure is part of success. You're not going to be successful unless you fail. I don't know. I don't, I don't know how many times you're going to fail, but at some point you're going to succeed. So failure is. And, you know, and when they are scared is one of the, you know, one of the things that they avoid looking closely because they are scared.
[00:13:31] Speaker A: Absolutely.
And that means that fear always stops you to do what you want to do.
So, Olga, in your experience, what does financial control actually feel like for a business owner who's been operating in uncertainty?
[00:13:49] Speaker B: Well, you know, to me, financial control, it's more like in the cash flow. I know, you know, some finance finances are going to probably disagree with me, but I've seen so many businesses look extremely profitable, but they have zero cash in their bank accounts.
So it's, it's cash.
If you have cash available, you are going to be able to scale, to grow your business, to pay taxes, to pay your employees.
So that control, that financial control comes from how closely you look at your cash flow, how closely you control your cash flow in order for you to keep growing your business.
[00:14:38] Speaker A: Okay, and how do smart systems help entrepreneurs think more clearly instead of constantly reacting emotionally?
[00:14:47] Speaker B: Well, you know, smart systems, and this is like a very broad question, because smart systems nowadays, with the AI boom and the AI wave, it's so broad. Okay, so what does a smart, what, what is a smart system? To me, okay, a smart system could be something simple like, you know, having a process to collect your payments. To me, that's a smart system because that's something that works for your business.
It helps you create a healthier cash flow. You're going to collect your receivables, you're going to get the money faster. So to me, that's a smart system. So how do a smart system like that, simple, like only creating a system to collect your payments help entrepreneurs think more clearly, of course, is because when you have control of small portions of your business, such as collecting payments, paying vendors, you know, collecting cash for your payroll, you know, how fast your accounts receivables are gonna be collected for a healthier business. That's when a business owner feels control of their business. It's not about, you know, selling more. You can sell more, but if you don't have systems in place, everything can crumble.
So smart systems are simple systems and processes that you create within your business to take control of every single aspect of that business that you're running.
[00:16:29] Speaker A: Okay, and what role did the strategic mentorship play in helping you reprogram the way that you approached your growth?
[00:16:38] Speaker B: Well, when I started the business. Yo, Mari. I was by myself, okay? I was alone, solita, doing everything.
And I thought I was doing great, you know, like in my cave, in my computer, just, you know, me doing books.
And then all of a sudden, I realized that having someone to go to, to ask questions, you know, a colleague appear, that can help you navigate through something that it's completely new to you.
When I realized that I needed that person, I started, like, you know, looking for these type of mentorships and people who can. Who could help me elevate myself to another level.
So I did that. I put myself out there. I got out of this comfort zone. I started asking more questions and talking to people that I thought they were unreachable.
When I started doing that, my business, not me, my business started looking differently because I had different perspectives, I had different things to think about.
And by having that, it gave me the opportunity to understand that I wasn't lost in the woods because I am not an accountant.
I didn't go to college to study accounting. I went to college, and I am a financist. So having an accounting firm to was completely new. I never worked in accounting in an accounting firm before, so I was kind of like, handling the business as an entrepreneur, like, with an entrepreneurial mindset. So when I started reaching to these colleagues, to These peers, accountants, CPAs, enrolled agents, I understood that I had so much to learn. And their mentorship helped me, like, shift everything that I thought I was doing right? But they helped me, like, reshaped it, reframe it. So to me, it was kind of like a win, win situation. For them, it was a win situation. For me, it was even bigger. You know, the win, win situation.
So if you are in. If you are a business owner and you think you need a mentor, go ahead and find one.
Because mentors can help you change the mindset that you have. One thing is your business at the earliest stage. Another thing is your business six or seven years after. So you need those kind of, like, Refreshing ideas to help you elevate yourself and help you elevate your business.
[00:19:23] Speaker A: Absolutely. I think books, mentors, trainings, all of that is very essential when you want to be able to have and develop a structure.
What becomes clear is that transformation needs structure. A new mindset opens the door, but systems will always help us keep walking through it.
When entrepreneurs understand their numbers, they're just not managing money. They're creating the mental space to lead with confidence, make better decisions, and build with purpose.

Olga describes her secret ingredient as a combination of business acumen and stamina. That's important because success is not only about knowledge. It's about the ability to stay steady, keep learning, make strategic decisions, and continue evolving, even when the process feels uncomfortable. So, Olga, welcome back. Olga, when you say your secret ingredient was business acumen and stamina, what does that mean to you as an entrepreneur?
[00:21:40] Speaker B: Well, they are two different things. Okay. So for me, the business acumen is that knowledge that you gather throughout the years from your experience.
That business acumen, it's instilled in you based on whatever you've done in the past, in a business, in a previous job.
So those, those are the kind of details that you have in you, and you implement them in your new business.
The stamina, it's different because the stamina, it's that capacity that you as entrepreneur have just by keep moving Forward after you have tried for, I don't know, x, y, z years.
And that initial emotion is not already there, but you still keep moving forward.
So that energy that keeps moving you to keep growing your business, that for me, that's the stamina, that's what you need to have.
After that, those initial years end and you are now in the like growth layer of your business. That's when you start, like growing the business. You are no longer in that emotional side of the business. You are in that position of thinking, I want to grow my business. Is that energy that moves you every day and wakes up you every day just to keep moving forward for your business?
[00:23:14] Speaker A: Absolutely. So, Olga, momento. What moments tested your mindset the most while you were going from a solo venture into a million dollar firm?
[00:23:26] Speaker B: Wow. There are so many moments.
As entrepreneur, you have so many moments.
Well, I think the moment that I, that, that was like a breakthrough for me was the pandemic.
Because that's when I realized that I needed someone along my side.
I hired my first employee during the pandemic. But not only that, I think during the pandemic I understood that most business owners were living paycheck to paycheck.
So it became like my obsession to help them to navigate through all these things that we were going through, all the loans that we needed to apply for. And most of them were not having any influence, closed because their businesses were closed. And when I, when I had that opportunity, it was, it was my breakthrough. It was like kind of like one part of the purpose that I have in, in life that shine through. Like, oh my God, this is something I need to do and I need to help these people navigate through all these situations that we're going together because we all went through the same thing.
[00:24:40] Speaker A: Absolutely. And how do you personally stay clear and focused when business pressure becomes intense, when it becomes too much, what do you do?
[00:24:48] Speaker B: Oh my God. I meditate. Okay. And I sleep a lot. Like, listen to me. People think that having a business, it's, you know, going, going to bed at 2am and waking up at 6am that's not me. I need to sleep at least eight hours.
Okay. So I need my rest as my beauty rest because you need to have balance. You don't, you don't create a business to control you. You create a business for you to be able to get a better life for you, for your, for your family, for your employees.
So it's kind of like having those moments, having the vacations, having the time off, having that balance in your Life is what has helped me throughout the years. Those disconnection. We need to disconnect, and we need to understand that our brains need those moments with our family having, you know, being there with them. Not like, oh, I'm with the family on vacation. But let me tell you something. I have to do this because otherwise my business is going to go kapoof. So to me, it's like that. It's having that balance.
[00:26:02] Speaker A: Absolutely. For me, Tambien, sleeping my eight hours is very super important.
It's what motivates me, what gets me up early in the morning. And so what other habits or thought patterns have helped you move when results are not happening fast enough? Because sometimes we want things that are fast, just like this. But tell me, what patterns helped you to kind of get moving a bit faster?
[00:26:29] Speaker B: I think I read a lot of books. Okay. Those are the kind of habits that a business owner sometimes forget.
But when you start diving into these people that they already went through, all the situations that you are going through and reading them and understand that you're not alone. It's not. You're not the only one. Okay. I think those are the kind of, like, things that we as business owners need to do.
We need to read about other situations, like other experiences, practices from others that have been going through the same thing. Because you might have something that can catch with you. And not that you're going to do the same thing that they do, but it's going to help you understand sometimes, oh, I'm going through this.
Has someone gone through the same thing? Probably not. Probably, yes. But how that person solved that problem.
So to me, it was like reading, reading, you know, reading the right books at the right time have helped me shape what I have done with my business. Because, you know, for me, books are, you know, a source of infinite knowledge, and we need to take advantage of that because there are really good books out there that can help you shape your business and find solutions of situations that you think they are unsolvable. And they are.
[00:28:05] Speaker A: Absolutely. I think us, we should never stop learning. I think books are very important also.
And for those people that don't like to read, there's audiobooks put on some. Some headphones, and there's audio books that teach you about how to grow your business, a whole bunch of things. And they're great mentors.
[00:28:25] Speaker B: And not only.
Not only audiobooks, also podcasts. There are a lot of podcasts that can help you, you know, understand a lot of things that you have. You haven't thought about it.
[00:28:36] Speaker A: Absolutely. So, Olga, in your experience, what do entrepreneurs often misunderstand about the mental discipline required to build something sustainable?
[00:28:49] Speaker B: Okay, so I think the misunderstanding when it comes to the misunderstanding, I think is because the overthinking, they tend to overthink a lot. And we tend to overthink a lot when we are business owners.
So when you have that mindset, that understanding of your business and that mental discipline that you need to have in order for you to succeed, you don't have to overthink it. You just have to create. You need to, at some point, you just have to execute.
And I've known a lot of great entrepreneurs, they have great ideas, but at the time of the execution, they just stop.
They don't know how to process that idea.
So if you are overthinking an idea, or if you are overthinking a process, or if you are overthinking, for example, the use of AI, stop doing that. Just put it into an execution, Put in a plan, just in writing, write it down, and with that planning written down, you are going to be able to execute it. Abc, three steps, easy peasy. That way you can overcome that overthinking that you currently have. I think that's the biggest misunderstanding from entrepreneurs.
They don't know how to execute an idea properly in order for them to get to what they want to, where they want to go.
[00:30:28] Speaker A: Absolutely. This reminds us that growth is not only external, it's internal. Because before you grow out there, you have to work on what's in here before the business expands. The person leading, the person leading it has to expand in discipline, resilience, clarity, belief.

Olga, thank you for coming back. When you work with business owners today, how do you help them move from confusion into a clearer way of thinking about money and growth?
[00:32:21] Speaker B: Well, we help them move by explaining them how to create the buckets. And I think I mentioned that earlier, that when you have a business and you start creating the buckets for the money and giving money the purpose of that's when you start creating, avoiding the confusion of your money and using the money with a purpose. You can create buckets for taxes. You can create buckets to pay your employees bonuses at the end of the year. You can create buckets to pay yourself your profits.
So when you have this type of clarity with your cash and you start creating these differences in your, in your cash flow, in your business, that's when you come from this confusion about I don't have enough money to pay from, oh, okay, now I have the enough money to pay all my dues to the government, to my employees, and transfer that confusion to clarity. That will be amazing for you. If you're not doing that, if you're not doing the buckets for your business, I invite you to do that. It's a super simple methodology that can help you understand better your cash and also eliminate the confusion and create more clarity for you and your business.
[00:33:46] Speaker A: What does it look like como seve when an entrepreneur finally stops fearing the numbers and starts using them as a leadership tool?
[00:33:56] Speaker B: It looks like freedom, Xiomari, because when people have the knowledge of their numbers and people have the power to make decisions, they are empowered. That's when freedom comes to their lives. That's when they start building the life they want to leave. They, that, you know, they start creating more wealth for them, for their employees, for their, for their family.
So when you have that freedom to create and to be more successful, that's when you start like, you know, stop fearing the numbers because you have it. You, you, you got it. You have that I've seen in my, in my customers eyes, when they have the numbers, when they have the clarity, they have the freedom to choose. They have the freedom to decide where are they going to take the company to the next level or not, whether they want to hire someone or not, whether they want to invest in AI or not. So that type of freedom Is. Is what you need to look for in a business in order for you to be able to live the life you want to lead you.
[00:35:00] Speaker A: How do business owners build those types of habits around financial awareness without feeling like they're overwhelmed or feeling like they're being judged?
[00:35:10] Speaker B: Well, they need to hire an accountant.
[00:35:15] Speaker A: Absolutely.
[00:35:17] Speaker B: You know, it sounds funny, but, you know, most of the. Most of the time, when I see these. These customers coming into our office, they are doing their books themselves, you know, and they think they. They play some. Sometime they play to be the accountant themselves. And to be honest, those are the kind of things you're not gonna do as a business owner. If you want to have a business, you need to surround yourself with people that know more than you.
So stop doing that. Stop doing, you know, your books yourself and hire an account and hire someone that can help you and guide you.
[00:35:56] Speaker A: Absolutely. I know exactly how that feels like.
But what do you believe separates a business that grows from one, just that grows from one compared to a business that grows with purpose and control?
[00:36:12] Speaker B: I think, you know, purpose gives you some type of longevity. Because when you live with purpose and you create your business with purpose, what. What's going to happen is that you're going to. You're creating a legacy not only for you or for your family, but for your customers, for your employees.
So the difference I see for the. For the people that are creating their business with purpose and the ones that are not, it's basically the ones that are not, they just have like an end game. This is my end game. I don't want to do it anymore. I sell my business and that's it. That was their purpose.
That's what they build their business for. But there are some others that have this sense of purpose that they're doing it because they actually had a call to do that. What they're doing.
That's when you create a legacy. That's when you create that longevity in your life and in your mind. So it's not right or wrong. To be honest, I think people that are doing their business for purposes is so meaningful, and we need that as, you know, a society. But there are some that if they don't have a purpose, it's not wrong. It's just like, you know, they're what they needed. It was a vehicle for them to achieve another goal. And we cannot judge them. It's just like a two different things.
So to me, having a purpose is, you know, like the shoemaker in a small town that creates those shoes for everyone at the Town, which is great because he's leaving the legacy. But it doesn't make you wrong if you're doing it because you want to have an exit plan and live a better life for you when you're older.
[00:38:00] Speaker A: Absolutely. I always ask myself, what is the one thing that I would love to do, that I love to do, and I don't care if I get paid for it or not. That's where it's at. So tell me, Olga, what's one mindset shift every entrepreneur needs if they want to build a business and perform and also support the life they've always wanted to live?
[00:38:21] Speaker B: Well, in my opinion, the one thing they need to change in their minds are the idea of being a solopreneur. Okay. The idea of control. I want to control everything. I don't delegate. I do everything better than everyone.
So if you're that kind of entrepreneur, then you're not an entrepreneur.
That's it. You are a solopreneur. That is making some decent money in order for you to succeed.
But if you change that mindset and you want to build something that is scalable, you need to start changing that for a leader. You need to become more a leader. You need to become more a guide for the people who work with you.
I would say that depending on your purpose, depending on your goal, that's what you want to do. If you only want to see a want to be a solopreneur, that's fine. You don't need to change that mindset. Probably the only mindset you need to change is saving a little bit more here or, you know, making more revenue here.
But if you really want to grow the business, then that's the first mindset I will tell you to change that mindset of I do everything myself. If I don't do it, then everything else is wrong. I do it right. It's my business. I don't delegate. That's the first mindset I invite you to change in order for you to scale the business.
